The goal is to ensure changes are handled clearly, consistently, and with care for the member experience.
Membership Holds
When to Use a Hold
A membership hold may be applied for:
Injury or illness
Travel or holidays
Short-term personal circumstances
All holds must have a clear start and end date.
Step 1: Member Completes Hold Request Form
Before applying a hold, ensure the member has completed the appropriate form.
Step 2: Process the Hold in Wodify

Step 3: Send Hold Confirmation Email
Once the hold has been processed, send a confirmation email to the member.

Important:
Do not apply a hold without confirming it in writing
Membership Cancellations
When to Process a Cancellation
Cancellations should only be processed:
After the member has submitted the cancellation form
In line with their membership agreement
If a member is unsure or upset, pause and escalate the conversation.
Step 1: Member Completes Cancellation Form
All cancellations must be requested via the official form.
